Why is my Export Rule not applied in my document?

There are cases wherein we see our document is showing the "Automate Export" button - this indicates that the document does not have an existing rule. 

This could be confusing because you have already exported a similar document before. 

No worries, this can be fixed! 

 

Here are the reasons why your existing Export Rule is not applying to your new document: 

1. The Contact Name is different from the Export Rule you have created before

Please note that the Export Rule we create are anchored towards the Contact Name of the document. This is how the system determines if it should be applied. 

So if we have uploaded document with the Contact: Supplier, the Export Rule will not apply because it is anchored to Contact: Supplier A

As you noticed, even a slight change on the Contact will make a difference. If there are any letters missing, punctuation changes, or spaces - the Export Rule will not apply. 

 

2. The Tag  is different from the Export Rule you have created before. 

Even if your Contact name has matched to the existing Export Rule, it also important to match the tags. 

In our example, Contact: Supplier A have an Export Rule but it is set up to Sales tag. 

 

Therefore, even if the Contact matches but the Tag is different, the Export Rule will still not apply. 

This can be amended through changing the Tag of the document. Once the Contact and Tag matched the Export Rule, we can now see it being applied.
